General reservation and cancellation conditions by
Finnish Travel Marketing Ltd – Sumama
Reservation
The reservation/order becomes binding when the client has registered via the online reservation system or alternatively confirms the reservation/order in writing. Changes and cancellations must always be made in writing.
The reservation/order constitutes a service package, the content of which is pre-arranged and might include e.g. reservation for a sales stand or space, participation fee, transportation charges etc. The service package always has an all-inclusive price unless indicated otherwise.
Payment and cancellation
The service package must be paid in full by the due date. In case the payment has not been received on time, the organizer is entitled to cancel the supplier’s participation in the sales event by informing the client thereof.
Cancellation fees in case of the supplier cancelling his / her participation in the sales event are the following:

90 – 60 days prior event start, 25 % of the package value
59 – 46 days prior event start, 50 % of the package value
45 – 30 days prior event start, 75 % of the package value
29 days prior event start, 100 % of the package value
TBA (To be announced) participants:
TBA participants are advised to confirm three weeks prior to the event. We can then insert them into our print materials and meeting lists.
No-show fee for buyers:
Please be advised that if your company chooses to cancel a company person's participation less than three weeks before the event date, a late cancellation fee of €200 will be applied. This policy enables us to manage our resources effectively and ensures that all participants have the best possible experience. Name changes of registered participants are doable the day before the event.

The User's personal data from the register may be used alone or in conjunction with other personal data held by Sumama.
Sumama reserves the right to use marketing material acquired by Sumama at events, such as photographs, unless otherwise agreed upon in writing. If an individual wishes to avoid being photographed, they should inform the Event Coordinator. DESCRIPTION OF REGISTERED GROUP The register contains personal data of individuals collected by Sumama.
DESCRIPTION OF INFORMATION RELATED TO REGISTERED INDIVIDUALS The register may contain the following information:

- Mobile phone number or telephone
- Email address
Company Information
- Company

- Job area in the company

Participation in events organised by Sumama DISCLOSURE AND TRANSFER OF INFORMATION. The data controller does not disclose information to external parties. REGISTER SECURITY Databases storing register information are protected by firewalls, passwords, and other technical means. The databases and their backups are stored in a secure location. The data controller ensures that only employees of the data controller and those of companies acting on its behalf have access to information necessary for the performance of their duties.
RIGHT OF INSPECTION, OBJECTION, AND CORRECTION The data subject has the right to inspect what information concerning them has been stored in the register. The inspection request must be sent in writing and signed to the person responsible for register matters. The inspection request can also be made in person at the data controller's office at the above-mentioned address. The data subject can submit one free inspection request per year. Inspection requests will be responded to within one month from the date of the request. Registered individuals have the right to delete their information and the right to demand correction of incorrect information by contacting the person responsible for registration matters.
